Position Description

Title: Administrative Coordinator
Department: Youth Programs
Reports To: Assistant Dean for Youth Programs and Director of Precollege
Supervises: N/A
Internal Contacts:  MSM Staff, Precollege/MSM Summer Faculty
External Contacts: Precollege/MSM Summer Students, Parents, and Applicants
Start Date: May 2024
Employment Status: Full-time; Non-exempt
Salary range: $45,000 – $50,000

Domains

  • Provide support in the planning and implementation of all Precollege Division and MSM Summer activities.
  • Assist in the scheduling and logistics of Precollege Division and MSM Summer activities for 500 students and 140 faculty, including student lessons, classes, performances, competitions, auditions, and juries.
  • Assist in the assignment of students’ coursework and schedules for approximately 500 Precollege students who all receive instruction within a 10-hour period on Saturdays and 150 summer students during the month of July.
  • Provide general office support (phones, filing, email, faxing, photocopying, etc.).
  • Maintain student attendance.
  • Oversee practice room assignments and reporting.
  • Maintain competition/festival database.
  • Maintain physical and virtual Precollege bulletin boards.
  • Update the Student & Faculty portal as well as the MSM Precollege Division and MSM Summer sections of the MSM website.
  • Write internal and external correspondence for department as assigned.
  • Responsible for ensuring accurate and up-to-date record keeping on students including attendance, transcripts, and personal information.
  • Prepare annual forms, including applications, certificates, calendars, and PR materials.
  • Create and process IDs for all faculty, students, and parents.

Job Requirements

  • 2-4 years administrative support experience.
  • Bachelor’s degree required, musical background preferred.
  • Computer literacy required, including skills in Microsoft Word, Excel, and Adobe.
  • Highly organized and detail-oriented individual.
  • Strong multi-tasking skills and ability to work well under pressure.
  • Excellent writing and communication skills required.
  • Professional customer service skills mandatory; must work well with students, parents, and faculty.
  • Must have an interest in working in an educational environment.
  • Ability to adhere to a high level of confidentiality and professionalism.

Work Schedule

This position operates Tuesday-Saturday during the academic year and Monday-Friday during the summer months.
